SALARY: £19,041-£20,835 (Pro rata £17,017.85-£18,621.23)

JOB TYPE: Term time only, full time

HOURS: 08:30-15:00 Monday-Friday, term time only

LOCATION: The Thomas Alleyne Academy, Stevenage

 

JOB PURPOSE:

Reporting to the Attendance and Exams Officer, the successful candidate will play a key role in supporting students and working with their families to promote good attendance at school. The role also includes support with the running of school examinations at the Academy.

PERSON SPECIFICATION

Requirement:

  • The ability to speak well and convey information clearly.
  • Professional presence and a tidy appearance
  • Have an ability to achieve results through the effective execution and prioritisation of workload.
  • Be disciplined and conscientious; able to recognise flaws in existing process and identify improvement.
  • Be a sound decision maker who interprets information to make informed and balanced judgements.
  • Show good communication skills, written and verbal,
  • Demonstrate good IT skills – Word, Excel
  • Level 2 qualifications in maths & English.

Desirable:

  • Previous attendance/exams officer experience.
  • Proficient using Google Workspace

ROLES AND RESPONSIBILITIES

ATTENDANCE SUPPORT – MAIN DUTIES AND RESPONSIBILITIES

Daily

  • Check attendance phone line and email for messages
  • Input absence reasons on our MIS (Arbor)
  • Send out truancy SMS messages and amend registers accordingly
  • Amend registers for latecomers immediately
  • Use Lesson Monitor

Weekly

  • Run attendance reports for tutors
  • Produce ‘late spreadsheet’ for Form Tutors, Head of Year and Assistant Headteacher for guidance and support
  • Create a report of those students who have been late and identify those needing to attend workshops
  • Receive all absence notes, amend register accordingly and file notes
  • Chase up missing absence notes

Half Termly

  • Provide attendance and persistent absence figures for the senior leadership team
  • Issue postcards for 100% attendance

As Needed

  • Delete students names from register via attendance manager if:
  • The student has ceased to attend school and the parent has satisfied the authority that he/she is receiving sufficient full time education other than attending school
  • The student has transferred to another school and the academy had received written notification of such
  • Prepare notes for court proceedings

 

EXAMINATION SUPPORT – MAIN DUTIES AND RESPONSIBILITIES

  • Create and maintain internal and external timetables to ensure accurate information for staff and students
  • Allocate exam invigilators and monitor costs for internal and external exams
  • Ensure the timely bookings of on-demand examinations by school staff
  • Ensure the maintenance of the security and confidentiality of exam papers
  • Co-ordinate the processing and implementation of access arrangements, in compliance with the individual board regulations – SENDCO
  • Assist in the distribution of the results in electronic format to staff across the school
  • Liaise with staff across the school to disseminate information in relation to exam entries, fees, closing dates, timetables and achievements
  • Work with the data manager to ensure the accuracy of the relevant school census information and results. To ensure results are appropriately recorded to enable accurate success data to be reported
  • Track and distribute exam certificates
  • Work independently across the school to supervise the running of the exams to ensure they are fully compliant with exam board regulations
  • Ensure up-to-date knowledge of procedures and future developments through regular attendance at award body briefings and staff development events as appropriate
  • Ensure processes are in place to ensure awarding bodies and school deadlines are met
  • Plan and evaluate the resource requirements to run the school examinations. Inform managers of additional as soon as possible to enable strategic planning for resources, including IT requirements
  • Undertake such tasks and responsibilities as may sometimes be required by the head teacher
  • Manage the process of collating and distributing certificates and their accuracy with the admin team
